Purpose of the job

Responsible for the day-to-day accounting operations, with a major focus on Accounts Receivable (AR) and Accounts Payable (AP). This role ensures the accuracy of financial data, compliance with accounting standards and tax regulations, timely month-end and year-end closing, and effective coordination with internal departments and external stakeholders.

Main Accountabilities

1. Daily Accounts Receivable (AR) Management

  • Collaborate with the Customer Service department to release goods in the ERP system.
  • Verify sales contracts, orders, and customer signature documents to ensure revenue recognition complies with accounting standards.
  • Manage daily bank accounts, including the reconciliation and accounting of customer collections.
  • Issue VAT invoices accurately based on sales orders to ensure tax compliance. Communicate with maintenance/repair customers regarding invoicing matters.
  • Handle special transactions such as credit notes (red-ink invoices).
  • Maintain the AR ledger and regularly reconcile with customers.
  • Create and maintain customer master data in the ERP system; support daily operations and testing of related ERP modules.
  • Maintain the normal operation of the tax invoicing system.

 

2. AR Month-end & Year-end Closing

  • Compile output tax for VAT returns.
  • Prepare internal management reports, including revenue analysis.
  • Assist with the annual audit.

 

3. Accounts Payable (AP) Management

  • Review employee reimbursement claims to ensure compliance, proper documentation, complete approval workflows, and arrange travel expense payments.
  • Accurately record supplier invoices and process payments in a timely manner.
  • Create and maintain vendor master data in the ERP system.
  • Compile input tax for VAT returns.
  • Prepare internal management reports, including expense analysis.
  • Assist with the annual audit.

 

4. Bank & Treasury Management

  • Manage daily bank accounts, including the reconciliation and accounting of receipts and payments.
  • Handle cross-border payment and receipt transactions, and complete relevant foreign exchange declarations.

 

5. Internal Collaboration

  • Coordinate with the Customer Service department regarding order execution.
  • Verify shipping and signature information with Logistics department.
  • Collaborate with the IT department to resolve system issues.

  • Internally: local Finance, Sales, Marketing, Customer Service, Logistics, HR/Admin, Repair Service, IT/ERP team.
  • Externally: local customers and vendors, Auditors and Banks.

 

Job requirements

1. Education & Experience

  • Bachelor’s degree or above in Accountancy, Finance, or related majors.
  • More than 5 years of relevant accounting experience in China.
  • Experience in multinational companies or large enterprise Financial Shared Service Centers is highly preferred.

2. Professional Skills

  • Solid knowledge of Chinese Accounting Principles and VAT invoice management processes.
  • Proficient in ERP systems; hands-on experience with JD Edwards (JDE) or SAP is a definite advantage.
  • Advanced proficiency in MS Excel and MS Office suite.
  • Familiar with Golden Tax system operations.

3. Language Skills

  • Excellent command of written and spoken English and Mandarin (English must be usable as a working language).
  • Cantonese proficiency is an advantage.
