Team Assistant (m/f/d)
These responsibilities await you on our team:
- You independently coordinate and manage the calendars, appointments, and day-to-day activities of the Director Brand & Strategic Marketing and the SVP Sales & Channel Marketing, while taking full responsibility for all travel management activities, from planning and booking through to post-travel follow-up, including visa applications and A1 certificates.
- You support the planning and execution of customer visits, workshops, meetings, and smaller events.
- You independently manage all onboarding, organizational change, and offboarding processes and coordinate the associated IT and access requirements.
- You create purchase requisitions, onboard new vendors, and process incoming invoices, including review and approval.
- You handle professional correspondence, maintain digital document filing systems, and support the publication of content in the Backstage Communication section of the intranet.
- You prepare presentations, documentation, reports, and statistics in both German and English and support the management teams of Brand & Strategic Marketing and Sales & Channel Marketing in all organizational and administrative matters.
- You arrange business travel, including visa applications and A1 certificates, for employees of designated headquarters departments in compliance with applicable travel and company policies.
The qualifications you bring:
- You have successfully completed a commercial/business-related vocational qualification, ideally supplemented by further training as a Management Assistant (m/f/d) or a comparable qualification.
- You have solid professional experience in a comparable executive assistant, administrative support, or trusted confidential support role.
- You demonstrate excellent organizational and planning skills combined with a high level of resilience.
- You work independently, in a structured and responsible manner, and are committed to delivering high-quality results.
- You are skilled at setting priorities and maintaining an overview, even in a dynamic and fast-paced environment.
- You are a team-oriented individual with strong interpersonal and intercultural skills, complemented by a pragmatic, hands-on mentality.
- You possess excellent communication skills, assertiveness, and a strong service-oriented mindset.
- You are business fluent in German, fluent in English, and highly proficient in Microsoft Office applications (particularly PowerPoint, Excel, and Word), as well as modern web- and cloud-based applications.
